Convention Policies

Firm Registration Volume Discount

If three or more individuals from the same firm register for the full AIA Florida Convention, each registered person is eligible for a 10% discount off the registration fee. These discounts do not apply to nonmember fees or late fees and may not be used in conjunction with other discounts. To take advantage of this discount, please call AIA Florida at (850) 222-7590 or email hgill@aiafla.org to register everyone at the same time.­

Cancellations

Cancellations must be submitted in writing and requested more than 21 days before the convention date to receive a full refund.

Cancellations requested after the 21-day cutoff, will not receive a refund unless there is a documented hardship. In this case, following an individual review, a refund may be granted less a $75.00 cancellation fee.

No refund requests, regardless of hardship, will be considered more than 90 days after the conclusion of the convention.

Donations are not refundable.

Trade Show Only Admission Policy

Attendees not registered for the AIA Florida Convention & Trade Show will be required to register and wear a name badge to enter the trade show. Online registration will be made available prior to the event and onsite registration will also be available. Name badges will clearly identify trade show only registrations.

Design & Honor Awards Admission

Children 17 and under may attend the AIA Florida/Caribbean Design & Honor Awards for the child ticket price and must be accompanied by an adult.

Speaker Acquisition

Speakers are selected by a volunteer planning committee, comprised of AIA members, including architects, emerging professionals and allied members. Firms, companies and/or individuals may submit content to the committee for consideration to be included on the CE agenda. Limited speaking opportunities are also available through sponsorship.

Golf Tournaments

Inclement Weather - in the event of inclement weather on the day of the event, the host golf club will determine in its sole discretion whether the course will be closed or remain open. If the course is closed, players will receive a refund. If the course remains open, there will be no refunds, regardless of whether group proceeds with the event.

Presentation Material

Presentation material will be available electronically in advance of the program.­ An email will be sent to all registrants with a link to access the presentations.­­ Please Note:­­The email address used during registration is the one used to send electronic material. To avoid missing this email, please make sure AIA Florida is not flagged as junk mail or spam by you or your firm.

Substitutions, Transfers and Cancellations

A registrant may substitute another registrant up to the beginning of the first morning session. If the event has a non-member fee, and a nonmember substitutes for a member, the nonmember will be charged the applicable non-member fee. No verbal or phone request for cancellations will be taken.­ All requests must be in writing. There will be no transfer or refund granted after the course presentation date.

Communication Devices

To maintain a productive learning environment for participants, unnecessary distractions within the classroom must be avoided. All disruptive communication devices must be silenced during all AIA Florida CE programs.

Special Accommodations

In accordance with the American Disabilities Act (ADA), AIA Florida will try to reasonably accommodate anyone disabled and in need of special services. Please inform AIA Florida staff in advance of any special needs requests.

Special Notes

Most meeting rooms vary in temperature throughout the day and generally are cool rather than warm. Dress comfortably; take a jacket if you tend to chill easily.

Minors­

Children younger than 16 are not permitted at AIA Florida continuing education programs.

Consent to Use Photographs­

By attending an AIA Florida event, you grant permission to AIA Florida to use your name, image, and/or voice in any of AIA Florida’s electronic, print, or multimedia publications (including but not limited to internal or external publications or media sources via newspaper articles, television coverage, online/web content, social media outlets, and any other print or electronic publications by AIA Florida) and agree that you will make no monetary or other claim against AIA Florida relating to this use of your name, image and/or voice.­ Minors will not be photographed, videoed or recorded or their images or voices used by AIA Florida without the written consent of parents or legal guardians.

AIA CES Approval

All CE content will be submitted to AIA CES for course approval through AIA Florida's provider number.­ AIA Florida will be responsible for registrations, attendance tracking and reporting for any CE event with AIA Florida's course number.

BADGE POLICY

Attendees and guests are required to wear badges at all times while at the Event. Admittance may be refused without a visible badge.

­PARTICIPATION IN THE ACTIVITY

As a Participant, Volunteer, or Attendee, you recognize that your participation, involvement and/or attendance at any AIA Florida Event or activity is voluntary and may result in personal injury (including death) and/or property damage. By attending, observing or participating in the Activities, You acknowledge and assume all risks and dangers associated with your participation and/or attendance at the Activities, and You agree that: (a) The American Institute of Architects, (b) the Property or Site Owner of the Activities, and (c) all past, present and future affiliates, successors, assigns, employees, volunteers, vendors, partners, directors, and officers, of The American Institute of Architects or the Property or Site Owner (collectively, the "Released Parties"), will not be responsible for any personal injury (including death), property damage, or other loss suffered as a result of your participation in, attendance at, and/or observation of the Activities, regardless if any such injuries or losses are caused by the negligence of any of the Released Parties (collectively, the "Released Claims").

BY ATTENDING AND/OR PARTICIPATING IN THE ACTIVITY, YOU ARE DEEMED TO HAVE GIVEN A FULL RELEASE OF LIABILITY TO THE RELEASED PARTIES TO THE FULLEST EXTENT PERMITTED BY LAW.
